Client Coordinator

Intentional Self Aesthetics | New Canaan, CT

We are seeking a highly organized and personable Client Coordinator to serve as the first point of contact for our clients and a central support for daily operations at Intentional Self Aesthetics.

This role is responsible for managing appointments, coordinating the schedule, and helping create a seamless client experience from the moment someone reaches out to the moment they leave our office. The ideal candidate is polished, professional, detail-oriented, and comfortable handling both communication and administrative responsibilities in a fast-paced environment.

Responsibilities

• Manage daily appointment scheduling, confirmations, rescheduling, and follow-up
• Coordinate provider calendars to support an efficient daily flow
• Communicate with clients by phone, text, and email in a timely and professional manner
• Support front desk operations and help maintain an elevated client experience
• Complete daily administrative and operational tasks
• Maintain accurate client records and internal documentation
• Track basic data and assist with reporting using Google Sheets

Qualifications

• Strong organizational skills and attention to detail
• Excellent communication and interpersonal skills
• Proficiency in Google Sheets and general office technology
• Ability to multitask and stay composed in a client-facing environment
• Reliable, proactive, and solution-oriented

This is not a passive front desk role. We are looking for someone who takes ownership of their work, anticipates needs, and contributes to a high-functioning, physician-led team.
